Manage billing transactions
Search, review, and export billing transactions using the Merchant Console.
Introduction
Billing transactions are the individual payment records that make up your billing statements and settlements. While billing statements show consolidated financial activity for a billing period, billing transactions show the underlying records behind those totals.
The Billing Transactions page in the Merchant Console shows all of your transactions in one place. It includes both card present and card not present transactions that are either pending settlement within a billing statement or already settled.
In this article, you will learn how to use the Merchant Console to:
- search for billing transactions
- review transaction-level details, including settlement status, billing amount, fees, commission, and related statement references
- identify delayed or unsettled transactions
- export transaction data for reconciliation, reporting, and record-keeping
Search for billing transactions
Keep the following in mind when searching for billing transactions:
- Once a payment is ready to be settled within a billing statement, it will appear on the Billing Transactions page.
- A payment transaction appears as a billing transaction only when it can be assigned to a valid billing statement in the Merchant Console. If no applicable billing statement exists in the Merchant Console, no billing transaction is created.
To search for billing transactions:
- Open the Merchant Console.
- Select Billing > Billing Transactions in the navigation menu on the left.

- Expand the Search section above the billing transactions list.
- You can search by Billing Statement, Transaction date, or click Add search filter to add more filters for your search.

- Click the Searchbutton.
Filters
You can apply the following filters to your search:
- Billing Statement – Filter transactions by Billing Statement ID.
- Transaction date – Filter transactions by creation date and time in UTC. You must enter both From and To values. The maximum date range is 7 days.
- From – Includes transactions created on or after the specified date and time.
- To – Includes transactions created before the specified date and time.
- Gateway – Filter transactions by payment gateway.
- Transaction Type – Filter transactions by billing transaction type, such as Sale Approved, Chargeback, or Refund Approved.
- Transaction Currency – Show only transactions processed in a specific currency.
- Billing Currency – Show only transactions settled in a specific currency.
- Transaction Fee Currency – Show only transactions where fees are charged in a specific currency.
- Transaction Fee Charged On Billing Statement – Filter transactions by the billing statement from which the transaction fees are deducted.
- Interchange++ Charged On Billing Statement – Filter transactions by the billing statement where Interchange++ fees are applied.
- Is Interchange++ – Filter transactions based on whether the Interchange++ pricing model is applied. Select Yes to show only Interchange++ transactions, No to exclude them, or Both to include all transactions.
- Commission Rule Id – Show only transactions with a specific commission rule applied.
- Commission Rule Id Available – Filter transactions based on whether a commission rule ID is present. Select Yes to show transactions with an associated commission rule, No to show transactions without one, or Both to include all transactions.
- Unique Id – Search for a specific transaction using its unique Transaction ID.
Results
The search results table features the following columns:
- Actions – Opens the available actions for the transaction, including the option to view the full transaction details.
- Billing Statement – The billing statement number associated with the transaction. The statement may have a status of Paid, Bounced, or Pending.
- Settlement Status – Shows the settlement status of the transaction. This field is blank when the transaction is included and settled within the same billing statement. If settlement is pending or was delayed, the field may show:
- Delayed – Funds are on hold and will be settled in a future billing statement.
- Balance – A previously delayed transaction has now been settled.
- Settlement Date – The date on which the transaction was settled.
- Settlement Billing Statement – The billing statement number in which the transaction was settled. This usually matches the Billing Statement column unless settlement was delayed. For example, if a sale appears on billing statement 1001 but the funds are held and settled later on billing statement 1002, the Billing Statement value is 1001 and the Settlement Billing Statement value is 1002.
- Gateway – The payment gateway used for the transaction. For emerchantpay transactions, this value is Genesis.
- Unique ID – The unique transaction ID assigned by emerchantpay. This will auto-populate within the terminal and match with the information provided on the page when the transaction is successful.
- Merchant Transaction ID – The transaction ID assigned by the merchant for internal tracking and reconciliation.
- Transaction Date & Time – The date and time when the transaction was created, shown in UTC.
- Merchant – The merchant associated with the transaction. The name matches the business name in the Merchant Service Agreement. Select the merchant name to open the merchant record in Configuration > Merchants.
- Master Account Name – The master account associated with the transaction in emerchantpay’s billing system. This account is stored in Configuration > Companies and contains the merchant’s related company, MID, and terminal information.
- Terminal – The ID of the terminal used to process the payment. Select the terminal name to open the terminal record in Configuration > Terminals.
- Authcode – The authorisation code issued by the card issuer. This is usually a 5 or 6-digit code confirming that the transaction was authorised.
- Payment Type – The type of transaction, such as Google Pay, Apple Pay, recurring payment, sale, authorisation, refund or chargeback.
- Card Brand – The card scheme used for the transaction, such as Visa or Mastercard.
- Card Type – Indicates whether the card is a credit or debit card.
- Card Subtype – The card subtype defined by the card scheme.
- Cardholder’s name – The cardholder name submitted with the transaction. For Apple Pay and Google Pay transactions, this may show the relevant digital wallet name instead.
- Card number – The masked card number, showing the first 6 to 8 digits and the last 4 digits.
- Region – Indicates whether the payment is domestic, intra-regional, inter-Europe or cross-regional. If the value is Unknown, the issuer BIN does not provide enough information to determine the region.
- Transaction Type – The type of billing transaction, which determines the applicable fees.
- ARN – The Acquirer Reference Number. This unique number tracks card transactions as they move from the merchant’s bank (the acquirer) through the card scheme (such as Visa or Mastercard) to the card holder’s bank (the issuer).
- Transaction Amount – The original transaction amount.
- Transaction Currency – The currency of the original transaction.
- Exchange Rate – The exchange rate applied to the transaction. A value of 1.000000 means no currency conversion was applied.
- Billing Amount – The amount the customer was charged for the transaction. Sales usually appear as positive amounts, while refunds and chargebacks appear as negative amounts. Non-settlement transactions, such as authorisations and declined transactions, do not show a billing amount.
- Currency – The billing currency used for settlement.
- Transaction Fee Amount – The transaction-level fees applied, based on the Merchant Service Agreement. This may include authorisation, decline, refund, chargeback, settlement, and void fees.
- Transaction Fee Charged on Billing Statement – The number of the billing statement from which the Transaction Fee Amount for this transaction is deducted.
- Commission Percent – The commission rate applied to the transaction. This field is populated only for merchants on Blended pricing and reflects the percentage agreed for the relevant transaction type in the Merchant Service Agreement.
- Commission Amount – The commission amount applied to the transaction. The information in this column will vary depending on the pricing model used:
- For Interchange++, this is the combined amount of the interchange fee, scheme fee, and processing service fee. It is shown only for authorised and processed transactions.
- For Blended pricing, this is the monetary value of the agreed rate for the transaction type, as defined in the Merchant Service Agreement. It covers the interchange and scheme fees, with the remainder representing the processing service fee mark-up.
- Interchange Fee – The interchange fee amount charged by the issuing bank.
- Interchange Currency – The currency in which the interchange fee is charged.
- Scheme Fee – The scheme fee amount charged by the card scheme, such as Visa or Mastercard.
- Scheme Fee Currency – The currency in which the scheme fee is charged.
- Standard Debit Card Rate – The percentage rate applied to eligible debit card Sale or Settlement transactions. The percentage is applied to the Transaction Amount.
- Document ID – An identification value required only for specific Brazilian transactions where additional identity checks apply.
- GST Amount – The amount of GST (Goods and Services Tax) charged. This field is populated only for transactions in countries where GST applies.
- GST Rate – The GST rate percentage for applicable transactions.
- VAT Amount – The amount of VAT (Value Added Tax) charged. This field is populated only for transactions in countries where VAT applies.
- VAT Rate – The VAT rate percentage for applicable transactions.
- Value Date – The date on which funds are credited to your merchant account and the associated billing statement is marked as Paid. Depending on your search parameters, you may see transactions that have already been settled. This field is empty for billing statements with a Pending status.
- Reference ID – The ID of the original transaction linked to the payment. This is used for related transactions, such as refunds or chargebacks, where the original sale ID is referenced. This field currently applies only to card not present transactions.
Identify unsettled transactions
Unsettled transactions can appear in different places depending on their stage in the billing cycle. Use the following checks to find transactions that are linked to unpaid billing statements, or transactions that have not yet been assigned to a billing statement.
Identify transactions on pending or bounced billing statements
To review transactions associated with billing statements that have not been paid yet:
- Open the Merchant Console.
- Select Billing > Billing Statements in the navigation menu on the left.
- Click the Search section to expand it, then click Add search filter and select Status.
- Click the Status filter and add Pending and Bounced.

- Note the relevant Statement IDs.
- Select Billing > Billing Transactions in the navigation menu on the left and Search for billing transactions by the noted Statement IDs to view all associated transactions.

- Export the results to review the transactions and fees.
Identify payment transactions not yet included in a billing statement
Payment transactions created after the latest pending billing statement end time may not yet be included in a billing statement.
To identify transactions that are not yet assigned to a billing statement:
- Take the end date and time of the latest pending billing statement.
- Use this value to search on the:
- Payment Transactions > Payment Transactions page (for Card not present payments)
- Card Present > ECP > Processed Transactions page (for Card present payments).
Export billing transactions
You can export all billing transactions that match your current search filters to a CSV or Excel file. Negative transactions, such as refunds and chargebacks, are shown as negative values.
To export billing transactions:
- Search for billing transactions.
- Click the Export Files button and choose CSV or Excel.

- On the Export Files page, refresh the page until the export status is Completed. Then click Download to save the file.

Use the following columns in the export to reconcile transactions:
- Billing amount – The core amount paid by the customer.
- Commission amount – Interchange, scheme, and service fees.
- Transaction fee amount – Fees applied to the transaction, such as authorisation or refund fees.
Note: All three values use the settlement currency.
To calculate the final settlement amount for a transaction, use:
Billing amount − Commission amount − Transaction fee amount = Final settlement amount
